held on Monday 11 March 2013 at 3.00pm

1.     Minutes

The Minutes of the meeting held on 5th March 2013 were agreed and signed by the new Chair.

 

 

2.     Matters Arising

There were no Matters Arising from the Minutes.

 

 

3.     Bingo After School

It was agreed that 23rd May 2013 would be the date, starting at 3.45 until 5.45.  School admin staff would email staff and governors asking if they would like to come along.  The Hall has been booked out for this event from 2.30pm onwards. 

Caller:  EW’s father, Hamish Jack, had offered to do this again.

Refreshments:  SJ was definitely available to be on the refreshment stand.  AS and AL would check their work rotas and would help out if there were no clashes.

Shopping for refreshments and bingo prizes:  AL, AS and EW to liaise with each other.  It was suggested that prizes would be as follows:-                                    1 line – small chocolate bar

                             2 lines – larger chocolate bar

                             Full house – Box chocolates

Raffle Prizes:  donations for the raffle were offered by committee members, to be handed in by 16th May to EW.

Bingo Cards & Raffle Tickets:  EW was checking supplies and buying more if required.

Sale of Raffle Tickets on the Day:  Although Mrs Nuttall was not present at the meeting, she was nominated to sell raffle tickets as she had in the past, thereby getting to speak to everyone present on the day.  Raffle tickets would also be sold on the refreshments table.

Posters advertising the event:  EW would email Jenny the poster designed for the previous Bingo.  Jenny was asked to alter the dates and have it ready by 1st May for Headteacher to approve before displaying them and sending out smaller sized posters to parents instead of a letter.  It was also suggested that the admin staff in school could send out a text reminder to parents the day before the event.  CC to arrange this.

4.     Promoting Events and Delegating Responsibility

There were no events booked at present which needed help with refreshments in school time.  If anyone was required to do this, the following committee members were available:-

SJ – OK, between 9.00am and 10.30am

AS – OK, given 3 weeks notice

JK – OK, except for Wednesday mornings until the end of May.

 

Thought was given to ways of getting more people interested in joining the PTA, especially from parents of the younger children in school.  CC would be able to mention this to some of the parents the following evening at “parents evening”.  CC also stated that BHG were expecting 8 new starters at Easter and would mention joining the PTA at induction.

 

The Committee also requested whether teachers can find out from parents what skills they and/or their partners have which would help the PTA, ie “skills to share”.

 

Helen – promote football.

 

All agreed that texting was the best medium to use to get in touch with parents.

 

 

5.    Future of Cake and Coffee Mornings (TUESDAYS)

Several good ideas were put forward and it was agreed to promote cake and coffee mornings with different wording to include pre-school children and parents.

 

A re-launch would be made at “Values Day” on Monday 15th April when parents are invited to the school hall to view children’s work.  A flyer with a voucher attached would be prepared offering half price cake and coffee for any Tuesday morning in the future.  The first one would be the following morning, Tuesday 16th April.  EW offered to arrange for some cakes to be handed round with the flyers on the 15th.

 

The PTA had written to several local companies in the past asking for donations, ie McVities and Nestlés.  It was not decided whether to do this again just yet. 

 

SJ suggested selling any leftover cakes on Tuesday afternoons from 3.00pm to parents and staff.  She was available to help do this.  It was suggested we put a new poster on the notice boards, re-launching Cake and Coffee.  It was also suggested that this poster be put on the school website.  EW had a code to do this and was happy to ask another parent, Sue, to help her with this task.

6.    Children’s Designed Christmas Cards

It had been agreed that children would design Christmas Cards alternating every other year with an Art Exhibition.

 

SJ was more than happy to continue to print the cards which took a lot of her time.  There would have to be a “cut off” period when all art work was ready for printing.  It was therefore necessary to be prepared for Christmas well ahead with pupil’s pictures being drawn by the end of the first term in September.  It was possible for both cards and gift tags to be printed and a price would have to be decided upon.

 

The PTA would look again at the cost of consumables for this exercise, ie bargain hunting from now onwards for cheaper ink and card.  Houghton Hall did a good deal last year and SJ reported that their card was far superior and did not “bleed” like some cheaper brands, thereby saving on wastage.  JB was asked to write a letter on behalf of the PTA to Hobby Craft Head office, asking if it was possible to get a discount card to use in the Carlisle store.

7.    Air Ambulance Clothes Collections

AL confirmed that £54 has been received on 6th December from Air Ambulance after the last collection in November 2012.  The Committee agreed that another collection should be made to further boost funds.  It would be a good idea to text parents about this (asking for Mrs Nuttall’s agreement first) as parents often sort out the children’s clothes etc. before the Easter Holidays.

8.    Any Other Business

It was agreed that a copy of the Agendas for the PTA meeting be posted on the school website along with letters sent out to parents and posters promoting future events.

 

EW was to clarify with Mrs Bainbridge on how much the PTA owes regarding sending out texts.

 

£2000 had been paid over in total towards Library funding.

 

£300 had been given by Riverside to the PTA for girl’s football tournament last year.  Unfortunately this was cancelled 3 times because of bad weather.  EW to speak with the parent who was holding this event to see if it can be re-arranged for this year.  If this is not possible, the PTA would hold something similar.

 

Holiday Club and Afternoon Club were folding.  Breakfast Club is still on.  Spring/Summer Fayre?  These events were decent earners and parents enjoy it.  There is not enough PTA manpower/help at present to arrange another one.  The event was to raise funds jointly between Breakfast Club and the PTA.  Thought could be given re holding a Christmas Fayre this year.  CB would speak to Miss Nugent, Chair of Breakfast Club about this.

 

SJ was happy to find out more information on the possibility of holding a “Gamers” night after school, once a month suitable for all children.  It could take the same format as the Bingo Night, ie 2 hours duration.  She would enquire and get the necessary information and costs for the next PTA meeting.
